We are looking for an Operations & Marketing Coordinator — a proactive, organized and highly communicative professional who knows how to bring order to chaos, manage processes, deadlines and cross-team communication. This role works closely with the CBDO, supporting marketing, content, partnerships and operational coordination, as well as providing ad-hoc support to the CEO during key events.


We need someone who doesn’t wait for instructions — but sees what needs to be done and acts.

Key Responsibilities

Marketing & Communications

  • Prepare and publish content on social media (Facebook, LinkedIn).

  • Create basic visual materials (banners, simple layouts, visuals).

  • Oversee website updates: texts, translations, coordination with the team.

  • Keep vacancies up to date and publish them on the website.

  • Prepare Welcome Packs for candidates and support basic HR communications.

  • Gather data, materials and inputs for marketing initiatives, partnerships and communication activities.
     

Operational Management & Project Coordination

  • Structure tasks, manage deadlines and organize workflows across projects.

  • Coordinate external contractors: prepare briefs, define requirements, monitor timelines and quality.

  • Handle initial budgeting: gather cost data and prepare preliminary estimates.

  • Support the product portfolio: update information, collect materials and maintain documentation.

  • Executive Support

  • Provide operational support to the CEO: notes, short summaries, assistance at events or speaking engagements (as needed).

  • Coordinate key tasks and deadlines (when required).

  • Organize meetings, communicate with partners and document agreements.

  • Prepare short materials or content summaries from events.

Documentation & Internal Processes

  • Create presentations (marketing, partnership, product).

  • Handle contracts, invoices and acts; track signing and sending.

  • Maintain CRM: update records, log key dates and interactions.

  • Prepare commercial proposals based on templates.

Requirements

  • 2+ years of experience as an assistant, project coordinator, personal assistant, communications or content specialist.

  • Experience preparing presentations and basic graphic materials (Canva).

  • Understanding of work with contractors, budgeting and preparing briefs/requirements.

  • Experience managing social media or participating in content production.

  • Experience with documentation (contracts, invoices, acts) and CRM systems.

  • English level: B1+.

  • Strong organizational skills, multitasking ability, proactivity and attention to detail.
